وصف الوظيفة والمتطلبات:

Imperium Group is seeking a highly professional and detail-oriented Administrative Assistant to support our Cairo office operations. The ideal candidate will play a pivotal role in ensuring the seamless execution of administrative, operational, and coordination tasks. This role requires exceptional organizational abilities, strong communication skills, and the capacity to manage multiple priorities in a fast-paced, design-oriented environment.

Key Responsibilities:

  • Manage daily administrative operations, including correspondence, scheduling, filing, and documentation.
  • Prepare professional communications, meeting agendas, presentations, and reports for management review.
  • Coordinate and organize meetings, workshops, and conference calls, including logistical arrangements and minute-taking.
  • Maintain accurate and up-to-date records of company documents, contracts, and project-related files.
  • Support HR and recruitment activities, including candidate coordination, interview scheduling, and personnel record management.
  • Assist in the preparation and tracking of invoices, purchase orders, and expense reports in coordination with the finance department.
  • Monitor office supplies, handle procurement requests, and manage vendor relationships.
  • Support internal communications and ensure smooth coordination between Cairo, Dubai, and Abu Dhabi offices.
  • Assist management in preparing internal reports, performance summaries, and project documentation.
  • Handle sensitive information with the highest degree of confidentiality and professionalism.
  • Serve as the first point of contact for visitors and clients, ensuring a professional and welcoming office environment.
  • Contribute to improving office efficiency by proposing and implementing organizational and administrative improvements.

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 2–4 years of experience in administrative or executive support roles, preferably within the architecture, engineering, or design industry.
  • Excellent verbal and written communication skills in English and Arabic.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management tools is an advantage.
  • Outstanding organizational, time management, and multitasking skills.
  • Ability to work independently, exercise good judgment, and manage competing priorities effectively.
  • Professional demeanor, reliability, and attention to detail.
  • Strong interpersonal skills with the ability to interact across different departments and levels of management.
